Position Summary
The Project Assistant (PA) is based in San Salvador with regular travel to Guatemala and Honduras. The PA assists in grant administration, donor reports verification and submission, capacity building to partners and sub-grantees in the domain of grant management and facilitation of project audits. This position contributes to overall program and operations effectiveness. The PA ensures that projects are implemented in compliance with Internews standard operating procedures as well as donor’s rules and regulations, through providing support, control, advice and reinforcement of all non-program aspects related to different project cycle phases.The PA works in close collaboration with Internews El Salvador Finance Manager and Internews US departments as required, and reports to the Internews El Salvador Project Director. The PA contributes to Internews knowledge management and improvement of Internews systems and good practices and participates in building Internews’ credibility towards donors.
Note: This post is location specific, therefore candidates must already have the legal right to live and work in El Salvador.
Essential Duties and Responsibilities
- General project administration, file and calendar management.
- Coordination within project team and between HQ teams, project manager, and external partners.
- Assisting project manager and activity teams in logistical organization.
- Assisting in reviewing partner deliverables and reports.
- Assisting project team and external consultants in the financial and narrative reporting on activities.
- Assisting with preparing project documentation and data collection for donor reporting.
- Assisting with preparing partners and suppliers’ contracts and sub-grant agreements.
- Provides ongoing feedback to Internews Management and to the Program Support Manager on required improvement and updates on donor regulations and contractual obligations to ensure organizational knowledge is built and improved continuously.
- Ensures good knowledge management across grants, including key project documentation, to enable all teams supporting the grant to access information and provide a fully auditable trail.
- Any other task as assigned.

Qualifications
Required
- Solid experience working with USG donors in particular USAID, DRL, and other international donors.
- Professional qualifications, or qualification by experience, in development management, project management, finance or HR.
- Experience in traveling to challenging or remote locations.
- Proven ability to set priorities, handle multiple on-going assignments and manage time effectively.
- Advanced expertise in Microsoft Office, particularly Excel.
- Proven ability to manage a complex, multi-disciplinary program of work.
- Background in political science, international relations, media development, or journalism.
- Good knowledge of donor regulations and systems.
- Good understanding of the project cycle.
- Knowledge of good human resources management practices.
- Ability to work both independently and as an effective team member.
- Ability to work in a fast-paced environment and meet deadlines under pressure.
- A willingness and ability to adopt a hands on approach as well as provide strategic direction.
- Ability and willingness to travel to regional locations, which may be remote or difficult to reach.
- Strong communication, liaison and interpersonal skills to work effectively with people at all levels, and represent the organization at a high level.
- Strong analytical, problem solving and creative thinking skills.
- Professional proficiency in written and spoken Spanish.
Preferred
- Experience of working in, or dealing with, developing countries and fragile states.
- Professional proficiency in written and spoken English.
