Summary:
El Salvador’s Strengthening Human Rights Systems (SHRS) is a five-year program funded by the United States Agency for International Development (USAID) and implemented by Counterpart International (Counterpart) in partnership with local and international organizations. Counterpart is currently seeking an Administrative Assistant responsible for assisting in the set up and subsequently running the daily operations of the SHRS program office.
Primary duties include overall office coordination, including acquiring office and kitchen supplies, locating and establishing vendor and supplier relationships, and meeting preparation. This position requires the ability to manage multiple tasks. The incumbent is to be a well-organized, resourceful individual, with impeccable customer service skills, who enjoys a workplace that is fast paced, collegial, and professional. The Administrative Assistant will report to the Finance and Administration Manager. This is a full time position based in San Salvador, El Salvador. This is a locally-based position with frequent travel to Project regions; Salvadoran citizens only.
Duties and Responsibilities:
The Administrative Assistant will be responsible for carrying out the following tasks:

Carry out all receptionist functions including: answering and transferring phone calls, scheduling courier pick-ups; handling incoming/outgoing mail and greeting guests;

Manage office/kitchen supply needs;

Train new employees on office procedures;
-
Track and pay office expenses (e.g. utilities, security services, etc.);
-
Process executive office expense reports;
-
Assist in managing interactions with Program vendors;
-
Manage corporate calendar;
-
Coordinate catering for meetings;
-
Support management of office facilities;
-
Assist in coordinating schedule of the contracted Program driver;
-
Process business cards for Program staff;
-
Coordinate all travel arrangements of Program staff;
-
Coordinate and prepare office space for new employees, short term consultants or visiting HQ staff;

Manage and maintain insurance policies (e.g. automobile, offices); and
-
Other duties as assigned by the Finance and Administration Manager, the Deputy Chief of Party or the Chief of Party.
QUALIFICATIONS:

A minimum High School Diploma or five years of experience in a similar position;

Excellent oral and written communication skills;

Highly organized with an attention to detail;

Excellent customer service skills;
-
Strong skills in Microsoft Office applications (Word, Excel, Powerpoint);

Ability to work independently, prioritize and multi-task;

Ability to take direction and work well with others;

Flexible and solution-oriented;
-
Professional attitude and demonstrated ability to handle sensitive and confidential information; and

Proficiency in English language skills a plus.
